This Privacy Policy describes how DentaQueue ("we," "us," or "our") collects, uses, and shares information when you use DentaQueue™ (the "Service"). By using the Service, you agree to the collection and use of information as described in this policy.

1. Information We Collect

Account information: When you register, we collect your name, email address, practice name, and payment information (processed securely by Stripe).

Usage data: We collect information about how you use the Service, including log data, device information, IP addresses, browser type, and pages visited. This helps us improve the Service.

Practice data: Information you enter into DentaQueue such as doctor names, room names, team member profiles, queue requests, and internal messages. This data is associated with your practice account.

Communications: If you contact us via email or support channels, we retain those communications to respond to you.

2. What We Do Not Collect

DentaQueue is a workflow coordination tool, not a patient records system. We strongly advise against and our Terms of Service prohibit entering protected health information (PHI) into the Service. We do not knowingly collect:

Patient names, dates of birth, or contact information
Patient diagnoses, treatment plans, or clinical notes
Any information that would constitute PHI under HIPAA
Social Security numbers or government ID numbers

3. How We Use Your Information

We use the information we collect to:

Provide, operate, and improve the Service
Process payments and manage your subscription
Send transactional emails (account setup, billing receipts, password resets)
Respond to your support requests and inquiries
Detect and prevent fraud or security incidents
Comply with legal obligations
Send product updates and announcements (you may opt out at any time)

4. How We Share Your Information

We do not sell your personal information. We share your information only in the following circumstances:

Service providers: We use trusted third-party vendors to operate the Service, including Supabase (database and authentication), Stripe (payment processing), and Vercel (hosting). These providers are contractually bound to protect your data.
Legal requirements: We may disclose information if required by law, court order, or governmental authority.
Business transfers: If DentaQueue is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
With your consent: We may share information for any other purpose with your explicit consent.

5. Data Retention

We retain your account and practice data for as long as your account is active. If you cancel your subscription, we retain your data for 30 days to allow for reactivation, after which it is permanently deleted. You may request earlier deletion by contacting us at privacy@dentaqueue.com.

6. Data Security

We implement industry-standard security measures to protect your data, including:

TLS/SSL encryption for all data in transit
Row-level security on our database so each practice can only access its own data
Secure authentication via Supabase Auth
Regular security reviews and updates

Despite these measures, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security of your data.

7. Cookies and Tracking

DentaQueue uses essential cookies and local storage to maintain your session and preferences (such as your chosen color theme). We do not use third-party advertising cookies or tracking pixels. We do not participate in behavioral advertising networks.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

Access: Request a copy of the personal data we hold about you
Correction: Request that we correct inaccurate data
Deletion: Request that we delete your personal data
Portability: Request your data in a portable format
Opt-out: Unsubscribe from marketing communications at any time

9. Children's Privacy

DentaQueue is intended for use by dental practice professionals and is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately.

The Service may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or a prominent notice on the Service. Your continued use of the Service after changes take effect constitutes your acceptance of the revised policy.
